I wanted to share our success story implementing automated contract renewal workflows in Odoo 14 Enterprise cloud. Our organization manages approximately 850 active contracts across various categories - vendor agreements, service contracts, maintenance agreements, and lease contracts. Before automation, our procurement team spent 15-20 hours per week manually tracking contract expiration dates, sending renewal reminders, and processing renewal paperwork.
We implemented an automated workflow system in our Odoo cloud deployment that has transformed this process. The system now automatically identifies contracts approaching expiration, sends notification emails to stakeholders at 90, 60, and 30 days before expiration, generates renewal documents with updated terms, and routes them through approval workflows based on contract value and type.
The results have been impressive: we’ve reduced manual processing time by 85%, eliminated missed renewal deadlines, and improved vendor relationship management through timely renewals. Our procurement team now focuses on strategic negotiation rather than administrative tracking. The cloud deployment was key because it enabled easy integration with our email system and provided reliable scheduled task execution for the automation workflows.
