Bulk import via workforce-planning API vs individual record updates for quarterly forecasts

Rollback Strategies and Data Recovery: This is where bulk import becomes problematic. When a bulk import succeeds but you later discover data quality issues (incorrect forecast assumptions, wrong department mappings), rolling back 2,800 records requires either:

  1. Maintaining a complete backup dataset and re-importing the previous version (overwrites any interim changes)

  2. Primary Update via Bulk Import: Submit validated records using bulk import API. With proper pre-validation, expect 95%+ success rate. Bulk import of 2,800 records completes in 3-5 minutes versus 90+ minutes for individual updates.

  3. Exception Handling via Individual Updates: Parse bulk import error reports (if any failures occur), fix the problematic records, and submit corrections via individual API calls. This handles the remaining 5% of edge cases without reprocessing the entire dataset.

  4. Change Tracking: Regardless of update method, maintain a detailed change log capturing before/after values for every modified record. This enables rollback and provides audit trail for forecast revisions.

This hybrid approach gives you 95% of the performance benefit of bulk import while maintaining the error handling precision and rollback capabilities of individual updates. Total processing time for 2,800 records drops from 90 minutes (pure individual updates) to 15-20 minutes (bulk import + exception handling), while maintaining full data governance and recoverability.

Consider a hybrid approach. Use bulk import for the majority of your records but implement comprehensive pre-validation and error logging. When the bulk import identifies validation failures, ADP provides an error report file listing the specific records and issues. Parse that error file, fix the problematic records, and then use individual API updates to correct just those failed records. This gives you the speed of bulk import (handles 95% of records in minutes) with the precision of individual updates (fixes the remaining 5% without reprocessing everything). Don’t overlook the rollback consideration. If you discover data issues after a bulk import completes, rolling back 2,800 records is problematic. Individual updates can be selectively reversed by tracking which records were modified and their previous values. For workforce planning where forecast accuracy is critical, having a rollback strategy is essential. We maintain a shadow table that stores pre-update values for 30 days, allowing us to revert changes if forecasts need adjustment.
