Event registration workflow fails to enroll contacts from multi-language forms

We’re running global events with registration forms in multiple languages (English, Spanish, French, German). Our event registration workflow should trigger when someone submits any of these forms, but it’s only working for the English form.

The workflow trigger is set to “Form submission: Event Registration Form” but we have four separate form IDs for the different language versions. When contacts submit the Spanish, French, or German forms, they’re added to contacts but never enrolled in the workflow that sends confirmation emails and calendar invites.

I’ve checked the form submissions and they’re all coming through correctly with the right event properties populated. The workflow history shows enrollments only from the English form ID. We’ve tried adding all four form IDs to the trigger criteria with OR logic, but it’s still not catching the non-English submissions. This is causing major communication gaps with our international attendees who never receive event details after registering.

Let me address all three aspects of your multi-language form enrollment issue:

1. Multi-Language Form IDs: First, verify you have the correct form IDs. Go to Marketing > Forms, and for each language version:

  • Click the form name
  • Note the form ID from the URL (format: /forms/{form-id}/edit)
  • Cross-reference with your workflow trigger settings

Common mistake: Using the form name instead of form ID in triggers. HubSpot requires the numeric ID, not the form title.

For your workflow enrollment triggers, structure them like this:

  • Trigger 1: Form submission = Event Registration (English) [Form ID: 12345]
  • Trigger 2: Form submission = Event Registration (Spanish) [Form ID: 12346]
  • Trigger 3: Form submission = Event Registration (French) [Form ID: 12347]
  • Trigger 4: Form submission = Event Registration (German) [Form ID: 12348]

Each as a separate trigger criterion with the enrollment logic set to “When a contact meets ANY of these criteria” (OR logic between triggers, not within).

2. Workflow Trigger Configuration: The partial success with Spanish but not French/German suggests an enrollment criteria issue beyond just form IDs. Check these settings:

  • Re-enrollment: Should be set to “Yes” if the same contact might register for multiple events
  • Suppression lists: Verify none of your French/German contacts are on suppression lists
  • Contact property filters: If you have additional enrollment filters beyond form submission (like “Country is any of…”), these might be excluding French/German contacts

Go to your workflow settings > Enrollment tab > Show enrollment history. Filter by “Unenrolled” and look for contacts who submitted French/German forms. The unenrollment reason will tell you what’s blocking them (e.g., “Did not meet criteria,” “Suppressed,” “Already enrolled”).

3. Enrollment Testing: Systematic testing approach:

Create test contacts with clear naming (test_french@example.com, test_german@example.com). For each:

  • Submit the respective language form
  • Wait 5 minutes for workflow processing
  • Check workflow history for enrollment
  • If not enrolled, check contact timeline for form submission event
  • If form submission shows but no enrollment, check workflow eligibility

In workflow settings, use “Test enrollment” feature:

  • Select one of your test contacts who submitted the French form
  • Click “Test” to see enrollment eligibility
  • HubSpot will show exactly why the contact doesn’t meet criteria

Common issues found during testing:

  • Form submission event recorded but with different form ID than expected (cloning/translation error)
  • Contact already enrolled with suppression preventing re-enrollment
  • Form fields not mapping correctly, causing downstream action failures that look like enrollment failures

Additional Troubleshooting: If form IDs are correct and triggers are properly configured but French/German still fail:

  1. Check form embed method: Go to each form’s publish settings. If French/German use different embed types (iframe vs. native), they may have tracking issues. Standardize all forms to use the same embed method.

  2. Verify form submission events: Go to a contact who submitted the French form > Activity timeline > Filter to “Form submissions.” If the submission event shows the wrong form ID or is missing entirely, the issue is with form tracking, not workflow triggers.

  3. Test with form notification: Add email notifications to each form (Form settings > Options > Send form notifications). If notifications arrive for English/Spanish but not French/German, the forms themselves aren’t processing submissions correctly.

  4. Language-specific issues: Check if your HubSpot portal has language settings that might affect form processing. Some portals with strict language restrictions can have issues with multi-language forms.

Recommended Solution: Based on your partial success, the most likely issue is incorrect form IDs for French/German or an enrollment filter you’re not aware of. Do this:

  1. Delete all current enrollment triggers from your workflow
  2. Re-add them one at a time, testing after each addition:
    • Add English form trigger > Test > Verify
    • Add Spanish form trigger > Test > Verify
    • Add French form trigger > Test > Verify
    • Add German form trigger > Test > Verify
  3. This isolates exactly which form trigger is misconfigured

If all four triggers work in testing but fail in production, check for contact-level issues like duplicate records (French/German submissions creating new contacts instead of updating existing ones) or list membership restrictions on your workflow.

The systematic testing approach will pinpoint whether this is a trigger configuration issue, a form tracking issue, or a contact property mapping issue.

This draft is based on general HubSpot knowledge. It has not been verified against your specific version and environment. Practitioners: verify the steps and share your experience below.

Check if your workflow trigger is set to “Any form” versus specific form IDs. If you’re using specific IDs, make sure you’re using OR operators correctly between each form ID. Also verify that all four forms are actually published and active - sometimes draft forms or archived forms don’t trigger workflows even if they accept submissions.

I’ve run into this before. The issue is usually with how the form IDs are configured in the workflow trigger. You need to add each form individually as a separate trigger criteria, not try to bundle them with OR logic in a single criterion. Go to your workflow settings, and under enrollment triggers, click “Add trigger” for each of the three additional language forms. Each should be its own separate trigger line. HubSpot’s OR logic between multiple criteria works better than trying to OR within a single criterion.

Also check your form field mappings. If the non-English forms are mapping to different contact properties than the English form, the workflow might be failing on subsequent actions that expect certain properties to be populated. Even if the workflow enrolls, it could be silently failing on the first action and you wouldn’t see it in the basic enrollment list. Look at the workflow history detail view for any contacts that did enroll from non-English forms to see if actions are completing.

“Confirmed this resolves enrollment gaps — after switching our multilingual event workflows from form name strings to numeric form IDs in HubSpot’s trigger settings, all language variants enrolled correctly.”

I restructured the triggers to have each form as a separate enrollment criterion and that helped - I’m now seeing some enrollments from the Spanish form. But French and German are still not working. All forms map to the same contact properties, so that’s not the issue. Could there be something about the form IDs themselves? How do I verify the correct form ID is being used in the trigger?

To verify form IDs, go to Marketing > Forms, click on each form, and check the URL - the form ID is the number at the end. Make sure those exact IDs match what you’ve entered in your workflow trigger. Sometimes when forms are cloned for translation, the ID changes and people use the old ID by mistake.

Another thing - check if your French and German forms are embedded differently than the English and Spanish ones. If they’re embedded via different methods (native embed vs. iframe vs. external page), that can affect how form submissions are registered in HubSpot and whether they trigger workflows.
