Integration dashboard not updating in real time after Salesforce sync setup

We recently set up the HubSpot-Salesforce integration and while the data is syncing correctly, our integration dashboard is showing significant delays in updating. Changes made in Salesforce can take 30-45 minutes to appear on the HubSpot dashboard, even though the sync logs show successful transfers within 5-10 minutes.

The integration dashboard is critical for our sales team to monitor lead handoffs between marketing and sales. Right now they’re checking both systems separately because they can’t trust the dashboard timing. I’ve verified the sync frequency settings and they’re set to sync every 5 minutes, but the dashboard refresh seems to be on a different schedule.

Here’s what I’m seeing in the sync logs:

Sync completed: 2025-06-08 09:15:23
Records updated: 47 contacts, 12 deals
Status: Success

But the dashboard timestamp shows last update at 09:45, a full 30 minutes later. Has anyone figured out how to get dashboard updates to reflect actual API sync timing?

I can provide you with a comprehensive solution that addresses all three aspects of your real-time reporting challenge: integration sync frequency, dashboard update lag, and API-based triggers.

Starting with integration sync frequency optimization, your current 5-minute sync interval is actually the minimum for the standard Salesforce connector. However, the issue isn’t just the sync frequency - it’s how HubSpot processes the incoming data. When records sync from Salesforce, they enter a processing queue where HubSpot validates the data, checks for duplicates, runs any associated workflows, and updates related records. During peak hours (typically 9 AM - 2 PM EST), this processing can add 8-12 minutes of latency. To minimize this, adjust your sync timing to run during off-peak hours if possible, or consider upgrading to HubSpot’s Professional tier which offers priority processing for integration data.

For the dashboard update lag, you’re experiencing a cascading delay problem. Here’s what’s actually happening: Salesforce change occurs → 5-minute sync interval → 5-10 minute HubSpot processing → 15-minute dashboard refresh cycle. Worst case, if a change happens just after a sync runs, you wait 5 minutes for next sync, 10 minutes for processing, and up to 15 minutes for dashboard refresh = 30 minutes minimum, 45 minutes if processing is slow. To fix this, first reduce your dashboard auto-refresh to 5 minutes (Settings > Dashboard > Auto-refresh interval). More importantly, modify your integration dashboard to use ‘Last modified date’ as the primary sort/filter instead of ‘Sync date’ - this ensures the most recently changed records appear first regardless of when the dashboard last refreshed.

Now for the API-based triggers solution, which will give you true near-real-time updates. Set up Salesforce Process Builder or Flow to trigger a webhook to HubSpot whenever critical fields change. Here’s the implementation approach:

Salesforce Webhook Configuration:
Endpoint: https://api.hubapi.com/contacts/v1/contact/
Method: POST
Headers: Authorization: Bearer {your_api_key}
Trigger: Contact.Status__c changes OR
         Opportunity.Stage changes

On the HubSpot side, create a custom webhook endpoint in Operations Hub (or use a middleware like Zapier if you don’t have Operations Hub) that receives these Salesforce triggers and immediately updates the corresponding HubSpot records. This bypasses the scheduled sync entirely for critical changes, reducing your latency to under 2 minutes.

For immediate dashboard visibility without waiting for refresh cycles, create a custom report using HubSpot’s ‘Recently Modified’ view. Build a report that shows contacts and deals modified in the last 60 minutes, sorted by ‘Last modified date’ descending. Add this to your dashboard alongside the standard integration widgets. This report pulls fresh data on every page load, giving your sales team a real-time view of recent changes even when the main dashboard hasn’t refreshed yet.

Finally, implement a monitoring workflow to alert you when sync delays exceed acceptable thresholds. Create a workflow that triggers when a contact’s ‘Last modified date’ in HubSpot is more than 15 minutes behind its ‘Last modified date’ in Salesforce (you’ll need to sync this as a custom property). This gives you visibility into when processing delays are occurring and helps you identify patterns or issues before your team notices them.

This multi-layered approach gives you both immediate improvements (dashboard refresh optimization, custom real-time reports) and long-term solutions (webhook triggers, monitoring workflows) to achieve the real-time visibility your sales team needs.

This draft is based on general HubSpot knowledge. It has not been verified against your specific version and environment. Practitioners: verify the steps and share your experience below.

The dashboard refresh is independent from the actual data sync. Even though your data is in HubSpot, the dashboard widgets cache data and refresh on their own schedule. Check if your dashboard has auto-refresh enabled and what the interval is set to.

Auto-refresh is enabled and set to 15 minutes, which would explain some of the delay but not all of it. Even with 15-minute refresh intervals, I should see updates within 20-25 minutes total, not 30-45.

“Tested this on our HubSpot-Salesforce connector with a 5-minute sync interval, and clearing the processing queue backlog immediately reduced our dashboard update lag by 80%.”

There’s likely a compounding delay happening. Your sync runs every 5 minutes, but then HubSpot needs to process and index those changes before they’re available to reports. That processing can take 5-10 minutes during peak times. Add your 15-minute dashboard refresh on top of that, and you’re looking at 25-30 minutes best case. The 45-minute delays you’re seeing might be during high-traffic periods when HubSpot’s processing queue is backed up. You could try reducing the dashboard refresh to 5 minutes, but that won’t solve the underlying indexing delay.

Have you considered using API-based triggers instead of time-based syncing? If you can set up webhooks from Salesforce to push changes immediately to HubSpot, you’d eliminate the 5-minute sync interval delay. The dashboard refresh would still be an issue, but at least the data would be in HubSpot faster.

For truly real-time visibility, you might need to move away from the standard integration dashboard and create custom reports that query the data directly. The integration dashboard is designed more for historical sync monitoring than real-time operational use. Consider building a custom report that shows recent contact/deal updates with timestamps.

The webhook approach sounds promising. I’ll need to get our Salesforce admin involved to set that up. But I still need a better dashboard solution in the meantime for the sales team.
