Migrated event and calendar data from Google Calendar to CRM event module for unified scheduling

We successfully migrated our entire event and calendar infrastructure from Google Calendar to Zoho CRM for our 85-person sales team. The migration involved over 3,000 historical events and required careful calendar sync setup to maintain continuity. One critical challenge was time zone verification across our distributed teams in EST, PST, and GMT zones - we needed to ensure all events retained their original timezone context. Another major concern was attendee data integrity, as we had to map Google Calendar participants to existing CRM contacts and leads while preserving RSVP statuses and meeting notes. The migration took about two weeks of planning and execution, but the integration with our sales pipeline has been transformative. Happy to share our approach and lessons learned.

The timezone verification aspect is crucial. Did you encounter any issues with recurring events crossing DST boundaries? We had a nightmare scenario in our previous migration where quarterly review meetings shifted by an hour after DST changes because the timezone metadata wasn’t preserved correctly. How did you validate that all 3,000 events maintained their correct timezone context, especially for historical events that might have occurred during different DST periods?

What about the attendee data integrity piece? That’s where I imagine the real complexity lies. How did you map Google Calendar attendees to CRM records, especially when someone might be in the calendar as a personal email but exists in CRM under their work email?

I’m also curious about how you handled external attendees who don’t exist in the CRM at all. Did you create them as contacts automatically, or did you have a manual review process? And what about the RSVP statuses - did those carry over? We have a lot of client meetings where the acceptance status is important for our records.
