One consideration that often gets overlooked: how will your configuration handle re-qualification? A complex qualification scoring system means re-qualification is also complex. If you’re evaluating 50+ suppliers annually, that becomes a significant resource burden. Simpler approval workflows make periodic re-evaluation more manageable. Think about the total lifecycle management, not just initial onboarding.
We use exactly that tiered approach. Suppliers are categorized as critical, major, or minor based on risk assessment. Critical suppliers (those providing materials for regulated products) go through full qualification with scoring. Major suppliers get abbreviated qualification. Minor suppliers just need basic approval. This balances audit trail depth with approval workflow simplicity. The configuration took some work initially, but it’s been working well for two years now.
From a compliance perspective, I’d argue for the qualification scoring approach. When auditors review supplier management, they want to see objective criteria and documented decision-making. A simple approval workflow might be faster, but it’s harder to demonstrate that you’ve consistently evaluated suppliers against the same standards. The key is making the qualification criteria relevant and not just bureaucratic overhead.
