Use Case for Serialization and Traceability in Product Lifecycle Management

Our organization faced increasing regulatory demands and customer expectations for product traceability. As a compliance officer, I was asked to implement serialization and traceability capabilities within our PLM system to uniquely identify each product unit and track its lifecycle history. We needed to ensure rapid response to quality issues, manage obsolescence effectively, and support aftermarket service with accurate product data. The business context was ensuring regulatory compliance and product quality control, with the impact being mitigation of recall risks and improved after-sales support.

Technical setup of serialization in PLM involves configuring data structures to capture serial numbers, batch IDs, and related metadata. We link serialized items to BOMs, material compliance records, and change orders. Workflows enforce serialization data capture at critical stages-receiving, manufacturing, quality inspection, and shipping. Automated data collection through barcode scanning or RFID reduces manual errors. Integration with ERP and MES systems ensures data consistency.

We configured PLM to incorporate serialization at the unit level, assigning unique identifiers that are recorded and tracked throughout manufacturing, distribution, and service. Traceability workflows were established to capture detailed histories of components, changes, and service actions. Integration with obsolescence management processes allowed proactive identification of parts nearing end-of-life. Service parts management was enhanced by linking serialized products to spare parts and repair instructions, enabling efficient after-sales support.

Serialization and traceability improved our ability to comply with regulatory and industry standards, reducing the risk and cost of product recalls. Quality issues were identified and isolated faster, minimizing customer impact. Obsolescence management helped optimize inventory and reduce waste. Service teams accessed accurate product histories, improving repair turnaround and customer satisfaction. Best practices include automating data capture, integrating with supply chain and service systems, and implementing robust governance to maintain data integrity. Future trends in traceability technology include blockchain for tamper-proof records, IoT sensors for real-time tracking, and AI for predictive quality analytics. Overall, the use case strengthened product governance, risk management, and customer trust.

Challenges in implementing serialization on the shop floor include ensuring that data capture is seamless and doesn’t slow down production. We worked closely with manufacturing teams to design workflows that fit into existing processes. Training operators on serialization procedures and providing user-friendly data capture tools were critical. The investment paid off through improved traceability and reduced errors.
